Technical Tip-Importing contacts into GoldMine

10 Quick tips to remember when importing Contacts-


1. Open documents in Excel and save as a DBF 4 type file (this works best if you highlight all the data area and then Save AS – because you will just see the columns that you need.

2. When you go into import wizard – choose DBF type file.

3. On the import file screen (after you picked you file) be sure you can physically see the data. (the top Next screen allows you to scroll through the data records).

4.On the Next screen (Field Mapping) be sure to map all fields required. Be sure to go into properties on fields that are all Upper case – and choose “proper case” so that they won’t be imported in all CAPS.

5. Map default fields such as source (SOURCE LIST NAME) and customer status (Prospect) by highlighting the Goldmine field – choosing properties and type ‘Prospect’ - single quotes are required. By Defaulting a unique source name you can build a filter on these records for tracking, mass scheduling, mass changes, or mass deleting.

6. Pick your match field by choosing – profile options and pick a field to check for duplicates. We usually use phone number but you can choose company or contact.

7. You will only get a record matching screen – if you picked a record match in step 6. Any of the options will work but we suggest not to add new records. Our most common choice is do not import – or override existing goldmine records – with empty fields checked.

8. If you will be doing imports like this again – then save a profile name – and uncheck save the import file with this profile.

9. If you are importing a large list and uncertain about your abilities – you can create a new database and import the records into that database. Then using File – Synchronize – Copy/Move records to move them into your active database.

10.Build a filter using the default source so you can track these new accounts. If you forgot a default source Create On Date or Create By will help in building a filter.
